Key Responsibilities
As a Program Assistant, your role will include a range of essential functions that support project success. Your responsibilities include:
- Assisting the program department in collecting primary and secondary data for reporting, presentations, and communications.
- Supporting timely documentation and information sharing with internal and external stakeholders.
- Drafting project communication materials, including reports, meeting minutes, and briefings.
- Coordinating participant arrangements for reviews, planning, and quarterly project meetings.
- Assisting in organizing and attending trainings, seminars, and partner-led events.
- Helping develop spending plans and contributing to budget alignment with finance and program teams.
- Managing day-to-day tasks for the Program Support Unit (PSU), ensuring workplan alignment.
- Coordinating weekly or bi-weekly updates with field teams to maintain progress trackers.
- Supporting PowerPoint and chart design for internal and external project presentations.
- Assisting in field visit coordination, including Travel Request Forms and documentation.
- Managing procurement activities in collaboration with the finance and supply chain teams via the Integra system.
- Performing various administrative duties as assigned by the Program Manager or team.
Education and Experience Requirements
To qualify for the Program Assistant International Rescue Committee role, candidates should meet the following criteria:
- Bachelor’s degree with 2 years of relevant experience, or a Master’s degree in social sciences, project management, or a related field.
- Minimum of 2 years’ experience in a project support or coordination role, ideally in an NGO setting.
